WHISPERING OAKS HOMEOWNERS ASSOCIATION

November 14, 2009 Minutes

Some recruitment may be needed to encourage owners to run for Board vacancies prior to the November 30 deadline for nominations, according to soundings by current Board members.

Walt Walton and Bob Parker summarized their progress in securing contractors for repairs to the surveillance, security and lighting systems damaged in the October 4 incident of nighttime vandalism. They reported that Village Key & Alarm and Chuck Hardwick Fence and Gate will both come in under original estimates of cost.

Bette MacDowell will check references for the bookkeeping services offered by Kathi Jones prior to contacting her firm, a decision which would become effective in December. Pat Moyer expressed the view that Compass Bank and Ameriprise funds should remain under direct Board control after the selection of a bookkeeping service. She recommended that the Board conduct a review of insurance coverages in 2010 to verify that the Board is adequately protected against liability claims. The idea of interviewing a management firm for the association will remain on hold while the Board evaluates the experience with bookkeeping service in 2010.

The Board endorsed Walt's plan to arrange for a change in the gate code as of November 20. Residents will be notified in advance by email and home delivery of the message during the week before the change.

Bobby Crum, landscape committee chairman, will be authorized to spend up to $100 on upgrading WOHA holiday decorations.

The 2010 Annual Meeting will take place between 10 and 11:30 a.m. Saturday, January 9 at the Island Branch Library. Monthly meetings will be on Saturday mornings beginning at 10, except that no library room is available in March or August. City Hall will be the site if needed in those months.
